Academic Unit Transfer
The primary appointment in an Academic Unit may be transferred to a new primary department. If the person is employed through the College, it would be necessary, upon approval of the request, to complete forms required by Human Resources to change all Payroll and Human Resources records. Normally, the rank and tenure status would remain constant. If there is a change in rank or tenure status, the appropriate procedure for a change or promotion to the new rank and tenure status must be followed.
If there is not a change in rank or tenure status, the following documents are required:
1. Letter of Request for the Academic Unit transfer, initiated and signed by the head of the proposed primary Academic Unit and countersigned by the head of the former primary Academic Unit.
2. Request for Faculty Appointment/Promotion/Other (RFAP) form prepared by the proposed Academic Unit. The "type of action requested" should be indicated as "Other" with a comment indicating the transfer from the former Academic Unit.
3. Executed copy of relevant Faculty Employment Agreement Template
Full-Time or Part-Time to Voluntary Faculty
A person cannot be "transferred" from a full-time or part-time appointment to a qualified (voluntary) appointment. A new appointment must be processed and the following documents are required from the Academic Unit for an initial appointment:
To an equivalent, qualified rank:
1. Letter of Request from head of Academic Unit
2. Request for Faculty Appointment/Promotion/Other (RFAP) form prepared by the Academic Unit
3. Research Certified Voluntary Faculty Agreement form, if applicable. See Voluntary Faculty Research Certified Policy.
To a higher, qualified rank:
1. Letter of Request from head of Academic Unit
2. Record of Professional Training and Experience (RPTE) form prepared by the candidate
3. Request for Faculty Appointment/Promotion/Other (RFAP) form prepared by the Academic Unit
4. Current curriculum vitae of the candidate. See CV Outline - Promotion.
5. Research Certified Voluntary Faculty Agreement form, if applicable. See Voluntary Faculty Research Certified Policy.
Voluntary to Full-Time or Part-Time Faculty
A person cannot be "transferred" from a qualified (voluntary) appointment to a full-time or part-time appointment. A new appointment must be processed according to the procedures required for the proposed rank.
Title, Academic Time, Pay Status Changes
For changes in:
Title
- Tenure track to non-tenure track
- One voluntary title to another with no promotion (e.g. Adjunct Professor to Clinical Professor)
Academic Time
- Full-time to part-time
- Part-time to full-time
Pay Status
- Paid to non-paid
- Non-paid to paid
The following documents are required from the Academic Unit:
1. Request for Faculty Appointment/Promotion/Other (RFAP) form prepared by the Academic Unit
2. Approved Proposed Action Form (PAF)
3. For non-paid to paid, an executed copy of relevant Faculty Employment Agreement Template and faculty interview hiring report
